How document plans and file limits work

Emberhop plans set limits on how many documents you can have active at once and how many leads you can collect per month. Here is what each plan includes and how the limits apply.

How document plans and file limits work in Emberhop

Every Emberhop account is on one of four plans: Free, Essential, Pro, or Business. Each plan sets a limit on the number of documents you can have active at the same time, and on some plans, a monthly cap on how many leads you can collect. Understanding these limits helps you pick the right plan for your usage and avoid hitting a wall mid-campaign.

What each plan includes

  • Free: 3 active documents, analytics included, no lead gate access, no credit card required.
  • Essential (19 EUR per month): 15 active documents, lead gate enabled, 50 leads per month, 7-day free trial available.
  • Pro (49 EUR per month): Unlimited documents, lead gate enabled, unlimited leads, priority support, 7-day free trial available.
  • Business (149 EUR per month): Everything in Pro, plus up to 10 team seats, white-label embed (remove Emberhop branding), and dedicated support.
Good to know

Essential and Pro both come with a 7-day free trial. You can try all features including the lead gate before your first billing charge. No credit card is required to start the trial.

How document limits work

The document limit refers to how many documents you can have in an active, published state at one time. You can upload as many documents as you want, but only the allowed number can be active and generating embed codes at any given time.

If you are on the Free plan and already have three active documents, you will need to archive one before you can activate a fourth. Archiving a document removes it from your embed pages (visitors will see nothing where the embed was) but keeps the file and its analytics data in your account. You can reactivate it later.

On Pro and Business, there is no document limit, so archiving is not something you need to think about.

How lead limits work

On the Essential plan, you can collect up to 50 leads per calendar month across all your documents. The counter resets on the first of each month.

If you reach the monthly lead cap, the lead gate form is still shown to visitors, but their submissions are not recorded. This means you will not lose the visitor's time or attention, but you will not capture their contact details after the cap is reached. If you regularly hit the 50-lead limit, upgrading to Pro removes the cap entirely.

Free plan accounts do not have access to the lead gate at all. The lead gate feature is only available on paid plans.

Team seats (Business plan)

The Business plan supports up to 10 team members. Each member gets their own login and can access the documents, leads, and analytics for the shared organization. Roles control what each person can do: an Owner can manage billing and delete documents, an Admin can upload and configure documents, and a Member can view analytics and leads but not make changes to settings.

Upgrading or changing plans

You can upgrade or downgrade your plan at any time from the billing page in your dashboard. Upgrades take effect immediately. Downgrades take effect at the end of your current billing period so you keep the benefits of your current plan until the next renewal date.

If you downgrade from Pro to Essential and have more than 15 active documents, you will need to archive the extras before the downgrade completes. The billing page will prompt you if this is the case.
